What if an agency limits the number of proposals submitted by an institution?

If you are planning to submit to a funding opportunity with limited submission, contact the Office Sponsored Programs (OSP) via email at osp@elon.edu as soon as possible.

If an agency limits the number of proposals submitted by an institution, it may be necessary to hold an internal competition. In this case, a brief pre-proposal may be required. Details will be sent via email by the OSP if the need for an internal competition has been established. The Provost’s Office will determine how the submissions will move proceed.

Do I need to submit an Intent to Submit form if I'm only submitting an LOI?

It depends.

If the sponsor requires a budget, you need to submit an I2S.

If not, you don’t need to submit an I2S.

If the sponsor invites you to move forward with a full proposal, then you should submit an I2S and will be added to our queue.

How long do I have to keep my records for?

It depends.

Federal awards retention dates are determined by (unless otherwise stated in NOA). In general, it says 3 years from the date of submission of the final financial report – but we suggest checking.

Non-federal awards retention dates should be listed in the notice of award or award agreement.

If it is not stated, we defer to ÂÒÂ×ÊÓÆµ’s retention policy for grants. The grant record retention policy follows the Record Retention Policy under ÂÒÂ×ÊÓÆµ’s Office of Business, Finance & Technology. The policy states the retention period is the term of the grant award + 7 years. The award letter should be used to determine the end date of the term of the grant.
